This page explains what we collect when you use Toast, why, and what you can do about it. It covers both hosts (who set up a Toast and have an account) and guests (who just record a video message).

What we collect

From hosts. Your email address, so we can sign you in with a one-time code. Your name, if you give it to us. The details of the event you create: the occasion, the recipient's name, dates, your chosen film style, your cover photo, and anything you write for the invitation or prompts.

From guests. The name and relationship you enter before recording ("I am their...") and the video message you record. If you ask to be told when the film is ready, your email address, used only for that one notification.

If you contact us or send feedback. Whatever you write, an optional email address, an optional screenshot, and basic technical details (your browser, the page you were on, and the app version) so we can troubleshoot.

Why we collect it

To run Toast: sign you in, build and deliver your film, let a host manage their event and guest list, send the one-off "your film is ready" notification to guests who ask for it, and respond to bug reports and feedback. We also use IP addresses briefly to stop abuse, like someone trying to flood a sign-in with codes.

How your video is used

A guest's video is shared with the host of that event. The host can watch it, reorder it, or hide it from the film. Toast edits the videos the host includes into one tribute film. That film is sent to the recipient it was made for, and to anyone the host shares the watch link with. If you record a video for someone's Toast, assume the host, the recipient, and anyone the host shares the link with will be able to watch it.

AI processing

To build the film, clips are transcribed and analyzed by AI models. We use third-party AI providers, including OpenAI and Anthropic, to do this work. They process a clip's audio, video, and transcript as service providers to Toast, only to help make your film.

Where your data is stored

Toast runs on Fly.io, with video and file storage on Tigris. Our servers and storage are in the Sydney region.

How long we keep it

[We don't yet have a fixed retention policy. Today we keep event details, clips, and films until a host deletes their account or asks us to remove something sooner.]

Deleting your data

Hosts can delete their account any time from Settings. This removes your account and your events, with the clips under them. A film you've already given is a gift, so it stays with the person you gave it to, still saying it's from you. If you're a guest and want your video removed, ask the host of the event, or email us at [CONTACT EMAIL] and we'll take care of it.

Cookies and analytics

We don't use cookies or trackers beyond what's needed to keep you signed in, and we don't use third-party analytics. We do keep our own simple counts of how Toast is used, like how many people opened an invite or finished watching a film, using a random id stored in your browser. That id is not linked to your name or email and is never shared. If something breaks, the app sends us an error report with the page you were on and your browser type so we can fix it.

Children

[Toast is not intended for children under 13 (or 16 in the EU/UK). We don't knowingly collect information from children under that age.]

Changes to this policy

We may update this policy as Toast changes. We'll update the date at the top when we do.
